Free planning tool

Build a conflict-free station rotation.

Enter the number of teams and activity stations. The planner creates balanced rounds, shows rest slots when the numbers do not divide evenly, and exports a CSV for your run sheet.

Private by design: the schedule is generated in your browser. No team names or planning inputs are sent to GOSH.

Best fit

For organisers running several teams through shared stations.

Use the planner for team building events, office games, Amazing Race checkpoints, conference challenges and other programmes where teams must rotate without occupying the same station at the same time.

Use cases

Where this format works best.

Corporate mini-game circuit

Rotate departments through table or ballroom stations while preserving one clear timetable for hosts.

Amazing Race checkpoints

Create a starting sequence before adapting the schedule for route distance and checkpoint capacity.

Conference engagement

Move teams through short sponsor, networking or learning stations between agenda blocks.

Mechanics

How the experience actually runs.

Enter constraints

Choose 2 to 40 teams, 2 to 20 stations, play time and changeover time.

Generate balanced rounds

Each team advances through station or rest slots with no duplicate occupancy.

Operationalise the schedule

Download the CSV, add real team names, station locations, owners and safety notes in the master run sheet.

Before generating

Use realistic event-day inputs.

The mathematical rotation prevents station clashes, but the organiser still needs to allow for briefing, walking distance, accessibility, equipment resets and a wet-weather fallback.

Station capacity

Confirm that each station can hold one complete team safely and that equipment can reset within the changeover window.

Travel time

Use a longer changeover for spread-out routes, lifts, security checkpoints or mixed-mobility groups.

Uneven numbers

Rest slots are deliberate holding periods. Give resting teams water, a bonus prompt or a clear meeting point.

Facilitator coverage

Assign a station owner where rules, scoring, safety or equipment need active supervision.

From rotation to run sheet

Plan the handoff from rotation to event run sheet.

The planner creates a station sequence and timing outline. Before using the export on event day, add the information that a rotation table cannot decide for you.

Check capacity before assigning teams

Confirm each station can accommodate one complete team and that its equipment can reset within the selected changeover time. Where team and station counts differ, review the generated rest slots and decide where waiting teams should gather.

Allow for real movement between rounds

The changeover input should cover walking, lifts, access checks and participants’ mobility needs. A mathematical rotation does not establish that a route is accessible or safe. For outdoor or spread-out checkpoints, review travel time and wet-weather arrangements separately.

Make the CSV operational

Add team names, station locations, facilitator names, equipment, scoring rules and escalation contacts in your master run sheet. Include briefing, breaks and the finale outside the station rounds where needed. Keep one approved version for the event team.

Brief GOSH when you need hosted delivery

Share pax, station count, venue layout, available time, accessibility requirements and the support you need. GOSH can use the rotation as a starting point for a hosted event recommendation. The free planner and CSV remain available without signup; requesting support is optional.

Quote-ready planning

Get a practical recommendation, not a generic activity list.

GOSH runs through Get Out! Events, so the recommendation can account for facilitation, event flow, venue constraints, group size, and budget before a proposal is prepared.

Package clarityCompare self-guided, hosted compact, route-based, conference/table, and custom-theme formats.
Event operations fitShare pax, venue, agenda timing, AV, walking limits, and fallback needs so the format fits the actual event.

Formats

Choose the activity shape that fits your venue.

Single-room circuit

Short changeovers suit compact stations around a ballroom, office or training room.

Venue route

Increase changeover time and validate walking paths before using the generated order.

Hosted mobile missions

GOSH can combine physical stations with QR joining, timed mission releases, submissions and live scoring.

Sample flow

A practical structure for different event lengths.

Before the event

  1. Confirm final teams and capacities
  2. Generate and export the rotation
  3. Add locations, owners and reset notes

During the event

  1. Brief the movement rule
  2. Start every station together
  3. Signal changeovers centrally
  4. Record exceptions in the run sheet

After the event

  1. Close scoring
  2. Check all teams returned
  3. Save the final schedule with event records

Why GOSH

Built for participation, not passive attendance.

GOSH! combines mobile missions, team prompts, live scoring, facilitator support, and AI-assisted planning so the activity can adapt to your event instead of forcing every group through the same fixed format.

Questions

Before you plan this activity.

Is the station rotation planner free?

Yes. The planner and CSV export are free to use without creating an account.

Does GOSH store the schedule?

No. The schedule is generated in your browser and the tool does not send team counts or names to GOSH.

What happens when there are more teams than stations?

The planner creates enough slots for every team and labels unused station capacity as Rest. Rotate teams through those holding slots with a defined waiting activity or meeting point.

Can this replace an event run sheet?

No. Add station locations, owners, equipment, scoring, safety controls, accessibility needs and escalation contacts to the exported schedule before event day.
